Glasgow Property Letting (GPL) boasts a collective experience spanning more than five decades in residential sales and lettings. They are recognised as authorities in the property field, esteemed by clients and colleagues alike.

GPL have been a customer for a number of years and have started to use more and more of our services. A year after becoming a client GPL decided to start working with NovaBytes for their Microsoft 365 needs. We were able to assist them with what they needed and other areas that helped improve the security and the productivity of the business.

As with all our technology projects we started this one with a meeting to go over the pain points the GPL staff were experiencing with the current Microsoft set up. They explained they weren’t sure if they had too many licenses or if their staff were using the correct licenses for their needs. We also had an in-depth conversation about their business goals in order to get an understanding of which features (they were already paying for) that would benefit them and add value to the business. We began by evaluating their Microsoft tenant to establish which licenses were being utilised, which licenses could be removed and which licenses had features and functionality that would benefit the staff at GPL.

Once the tenant and license audit had been completed we started to restructure their existing OneDrive. The existing OneDrive was not set up properly to allow for proper user access so, when onboarding new staff members, they had to log into the OneDrive using the same credentials as everyone else. We made sure that the correct method of accessing the resource was in place and then re-structured the filing and provided each member of the team with the specific access to files and folders that they were allowed/given. We then provided proper training on how to maintain this structure and how to provide new staff members with access to the resources they needed to do their job.

As we mentioned, GPL were not entirely sure if they were getting the most out of their MS365 licenses. We also mentioned that they had specific goals for the business; one of those goals being increasing their resilience against cyber attacks. We rolled out Microsoft InTune to each of the staff members at GPL, giving them 2 huge benefits: 1) the ability to onboard a new staff member onto their new hardware and onto Microsoft services with just a couple of clicks and 2) if any of their devices went missing then they could erase all the data from the device and decommission it straight away.

Lastly, we did a few hours of trouble-shooting with the staff at GPL to help them with certain issues they had been facing such as calendar sharing, setting up calendar integrations on mobile devices and the general use of Microsoft services such as Outlook.

GPL now have a tidy Microsoft tenant with only the licenses they require, so they are not paying anything more than they need. They are also now using these licenses to their full potential, in-line with the company goals.

Their OneDrive is now properly structured and they all have their own login credentials and the ability to provide their staff members with the exact access they need, for example, staff that deal with finance have access to the finance folders whereas staff that don’t – do not have access to this data.

Working remotely and sending equipment such as laptops and phones to new employees is an obvious risk for the company but, now they have Intune in place, that risk has been substantially lessened with the ability to remotely erase devices. Intune has also made it incredibly easy for them to onboard new staff members. When GPL send out a new laptop to a new staff member, all that is required to gain access to their resources is a single-sign-on onto Microsoft services. Once a staff member does this all the company apps are downloaded so they can get to work straight away.
